Privacy Policy

We take your privacy seriously - here's the straight goods on how we handle your info

Look, we get it - nobody actually enjoys reading through legal mumbo-jumbo. But this stuff matters, so we'll keep it real with you.

At Lumivorn Astryx Auto Repair, we're in the business of fixing high-end European vehicles, not selling your personal details to the highest bidder. When you bring your BMW, Mercedes, Audi, or Porsche to our shop on Marine Drive, you're trusting us with more than just your car - you're sharing personal info too.

This policy lays out what we collect, why we need it, and what we do with it. We follow Canadian privacy laws (PIPEDA for you law nerds) and treat your data the same way we treat your vehicle - with care and respect.

Bottom line: We only grab the info we actually need to service your car and run our business. We don't sell it, we don't spam you endlessly, and we keep it locked down tight.

Personal Contact Details

When you book an appointment or drop off your vehicle, we'll ask for the usual suspects: your name, phone number, email address, and sometimes your home or business address. Can't really call you when your car's ready without a phone number, right?

Vehicle Information

Obviously we need to know what we're working on. That means your vehicle's make, model, year, VIN number, license plate, current mileage, and service history. For performance work, we might dig into your vehicle's ECU data and diagnostic codes - all the technical stuff that tells us what's going on under the hood.

Payment & Billing Info

We collect what we need to get paid - credit card details (though our payment processor handles the sensitive bits), billing addresses, and invoice history. Pretty standard stuff for any business.

Website Usage Data

Like most sites these days, we track basic analytics - IP addresses, browser types, pages you visit, how long you hang around. Helps us figure out if our website's actually useful or just looks pretty.

Communications

If you email us, call us, or fill out our contact form, we keep those records. Sometimes there's important info in there about your vehicle or preferences that we'll need down the road.

Here's what we actually do with your info - no surprises, no sneaky stuff:

  • Service Your Vehicle: This is the main event. We use your details to schedule appointments, diagnose issues, order the right parts, perform repairs, and keep accurate service records. Your car's history with us helps us catch potential issues before they become expensive problems.
  • Communication: We'll reach out to confirm appointments, update you on repair progress, send estimates before doing any work, and follow up after service to make sure everything's running smooth. We might also shoot you a reminder when you're due for maintenance.
  • Payment Processing: Pretty self-explanatory - we need to charge you for our work and keep records for accounting and tax purposes.
  • Legal Compliance: Sometimes we're required by law to keep certain records, especially for warranty claims, insurance purposes, or if there's ever a dispute about work performed.
  • Improve Our Services: We look at patterns in our service data to stock the right parts, schedule enough technicians, and figure out where we can do better. All anonymized though - we're not sitting around gossiping about who owns what car.
  • Marketing (If You're Cool With It): Occasionally we'll send out info about special promotions, seasonal maintenance reminders, or new services we're offering. You can opt out anytime - we won't get offended.

We'll never use your info for anything that's not directly related to servicing your vehicle or running our business. That's a promise.

We're not in the business of selling customer lists. That said, there are a few situations where we might need to share your info:

Service Partners

Sometimes we work with specialized suppliers for OEM parts, or we might need to send a component out for machining or specialized repairs. These partners only get the info they need to do their specific job, and they're contractually bound to keep it confidential.

Payment Processors

When you pay by credit card, that transaction goes through a third-party payment processor. They handle your payment info securely - we never actually store your full credit card number on our systems.

Legal Requirements

If we're legally required to hand over information - like for a court order, subpoena, or government investigation - we've gotta comply. We'll let you know if this happens unless we're legally prohibited from doing so.

Insurance & Warranty Claims

If you're filing an insurance claim or warranty work, we'll need to share relevant service records and diagnostic info with your insurance company or the vehicle manufacturer.

Business Transfers

If we ever sell the business, merge with another shop, or go through some major corporate restructuring, customer records would be part of that transfer. The new owners would still be bound by this privacy policy though.

What we DON'T do: We don't sell your info to marketing companies, we don't trade customer lists with other businesses, and we don't spam you with ads from random third parties. That's just not our style.

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are small files that get stored on your browser when you visit our site.

Essential Cookies

These keep our website functioning properly. They remember things like your booking form progress, whether you're logged into our customer portal, and your language preferences. Without these, the site would be pretty much useless.

Analytics Cookies

We use these to see how people use our site - which pages get the most traffic, where folks are getting stuck, how long people stick around. This helps us make the site better. All this data is anonymized though - we're tracking behavior, not stalking individuals.

Managing Cookies

You can control or delete cookies through your browser settings. Just know that blocking certain cookies might make parts of our site not work right - like you might not be able to book appointments online.

Most browsers accept cookies automatically, but you can usually adjust your settings to refuse them or alert you when they're being sent. Check your browser's help section for specific instructions.

We take data security seriously - probably more seriously than most repair shops, to be honest. Here's what we've got in place:

  • Encrypted Connections: Our website uses SSL encryption (that's the little padlock you see in your browser). This means data traveling between your device and our servers is scrambled so nobody can intercept it.
  • Secure Storage: Customer data lives on secure servers with firewalls, intrusion detection, and regular security updates. We don't just leave this stuff sitting on some old laptop in the office.
  • Limited Access: Only employees who actually need access to customer info can get to it. Our brake specialist doesn't need to see your credit card details, and our front desk staff don't need access to diagnostic data.
  • Regular Backups: We back up data regularly so nothing gets lost if there's a technical issue. These backups are encrypted and stored securely too.
  • Payment Security: Credit card processing goes through PCI-compliant payment processors. We never store full credit card numbers in our system - just enough info to reference past transactions.

That said, no system is 100% foolproof. We do everything we reasonably can to protect your data, but if you ever suspect something's off - like you get a suspicious email claiming to be from us - give us a call to verify.

Under Canadian privacy law, you've got some solid rights when it comes to your personal information. Here's what you can do:

Access Your Data

Want to see what info we have on you? Just ask. We'll provide you with a copy of your personal data we're holding. Might take us a few days to pull it all together, but we'll get it to you.

Correct Inaccurate Information

If something in our records is wrong - maybe we've got an old phone number or an incorrect VIN - let us know and we'll fix it. Accurate records help us serve you better anyway.

Request Deletion

You can ask us to delete your personal information. We'll do it unless we've got a legitimate reason to keep it - like outstanding invoices, warranty obligations, or legal requirements. We'll explain if we can't delete something and why.

Opt Out of Marketing

Don't want our promotional emails? No problem. Every marketing email has an unsubscribe link, or you can just tell us directly. We'll still send you essential communications about your service appointments though.

Data Portability

If you want to take your service records to another shop, we can provide your data in a commonly used format. We're confident in our work, so we're not gonna make it hard for you to leave if that's what you want.

Withdraw Consent

For anything that requires your consent (like marketing communications), you can withdraw that consent anytime. Won't affect any processing we did when we had your consent, but we'll stop going forward.

To exercise any of these rights, just contact us using the info at the bottom of this page. We'll need to verify your identity first - don't want to hand out someone's personal info to the wrong person - but then we'll take care of it.

We don't keep your information forever - that'd be creepy and unnecessary. Here's our general approach:

Active Customer Records

If you're regularly bringing your vehicle in, we'll keep your full records active and easily accessible. This includes service history, contact details, vehicle info, and past invoices.

Inactive Customers

If we haven't seen you in a while (usually about 3 years), we'll archive your records. They're still there if you come back, but they're moved to secure long-term storage to reduce clutter in our active systems.

Financial Records

Tax laws require us to keep financial records for 7 years. So even if you ask us to delete your data, we'll need to hang onto invoice information until we're legally allowed to trash it.

Legal Holds

If there's ever a legal dispute, insurance claim, or warranty issue, we'll keep relevant records until that matter is completely resolved - even if it goes beyond our normal retention periods.

Marketing Data

If you've opted into marketing emails, we'll keep that contact info until you unsubscribe or we haven't heard from you in about 5 years. No point emailing addresses that don't exist anymore.

When we do delete data, it's gone for good - securely wiped from our systems and backups. We don't just toss it in the digital trash can where someone could fish it out.

Our services are for adults who own or are responsible for vehicles. We don't knowingly collect information from anyone under 18 years old.

If you're under 18 and somehow ended up on our booking form, please have a parent or guardian handle the appointment. If we discover we've accidentally collected info from a minor, we'll delete it right away.

Parents - if you think we've somehow got info on your kid, let us know immediately and we'll take care of it.

We might update this privacy policy from time to time - usually when laws change, we add new services, or we find better ways to protect your data.

When we make changes, we'll update the "Last Updated" date at the bottom of this page. If it's a significant change that affects how we handle your information, we'll let you know directly - probably by email or a notice on our website.

We'd recommend checking back here occasionally, especially if it's been a while since your last visit. Though let's be real - you've probably got better things to do than read privacy policies all day.

If you keep using our services after we've updated the policy, we'll take that as you being cool with the changes. If you're not cool with them, just let us know and we can discuss your options.

Got questions, concerns, or want to exercise your privacy rights? We're here to help. Seriously - we'd rather you ask than worry about it.
